Northside Hospital Cancer Institute (“NHCI”, “we”, “our”, “us”) knows you care about your privacy and the protection of your personal information, and we are committed to providing the necessary protection to the online privacy of our employees, contractors, affiliates, and other users. We may use or make available online networks, devices, equipment, computer systems, applications or other technologies (“NHCI Technologies”) as part of our NHCI intranet site (“NHCI Connect”).

This Privacy Policy (“Privacy Policy”) describes the types of information we may collect from you or that you may provide to us when you visit  NHCI Connect, and our practices for collecting, using, maintaining, protecting, and disclosing that information. Please read on to learn about our collection and use of your personal information and how we protect your privacy. By using or accessing NHCI Connect in any manner, you acknowledge and agree that you accept the practices and policies outlined in this Privacy Policy, and you agree that we may collect, use and share your personal information as described herein. This Privacy Policy applies to information we collect (1) on NHCI Connect, (2) in email, text, or other electronic messages between you and NHCI Connect, and (3) through mobile and desktop applications you download from NHCI Connect, which provide dedicated non-browser-based interaction between you and NHCI Connect. Nothing contained herein is intended to supersede Northside Hospital’s or NHCI’s policies.

This Privacy Policy does not apply to other information we collect offline, or through any other NHCI Technologies you may access.

Information Collection

We may collect the following kinds of information when you use NHCI Connect:

Information You Provide To Us. We collect information you provide directly to us when you access or use NHCI Connect, including:

  • Personal information by which you may be identified; for example, your first and last name, email address, home address, telephone number;
  • Human resources information, including date of birth, identifying documents, employee number, employment role;
  • Information about our Internet connection and usage details; and
  • Information you enter into NHCI Connect;

Information We Collect Automatically. NHCI may automatically collect certain information when you access or use NHCI Connect. This information may include location information, IP address, device identifier, browser type, domain name, operating system, information about your use of NHCI Connect, internet service provider, pages that you visit before and after using NHCI Connect, the date and time of your visit, information about the links you click and pages you view within NHCI Connect, and other standard server log information. We may use various tools such as cookies web beacons and other online tracking technologies to collect this information. We may combine certain automatically-collected information with other information we obtain about you, which may include information we obtain from third parties.

The information we collect automatically may include personal information, or we may maintain it or combine certain automatically-collected information with other information we obtain about you, which may include information we obtain from third parties. This information helps us to improve NHCI Connect and to deliver a better and more personalized service.

  • Cookies are small data files that a web browser places on your computer. The use of cookies is a common practice on many websites. We may place cookies on your computer to allow us to recognize you on NHCI Connect during future visits, to measure web traffic, to offer you certain products or services, or to customize your visit. Your Internet browser may include settings that permit you to block cookies or to be notified when cookies are placed.
  • Web Beacons (also called “tracking pixels”) are small graphic images, also known as “Internet tags” or “clear gifs” that are embedded in web pages and e-mail messages. Web beacons may be used for various purposes, such as to count the number of visitors to NHCI Connect, or to monitor how users navigate NHCI Connect.
  • Embedded Scripts are designed to collect information about your interactions with NHCI Connect. These scripts are temporarily downloaded onto your computer from our web server, or the server of a third party with whom we work.

Regular cookies generally may be disabled or removed using tools available as part of most commercial browsers. In some instances, a browser may include settings that allow you to preemptively block cookies from being placed on your computer. Please be aware that if you disable or remove cookies and similar technologies, some parts of NHCI Connect may not work properly. We use information about you to operate NHCI Connect and to deliver the content and services you request. In addition, we may use information about you for other lawful purposes, including to:

  • Present our Intranet and its content to you;
  • To provide you with information that you request from us;
  • Respond to your comments, questions and requests, provide customer service, send you informational notices, and contact you if we need to obtain or provide additional information;
  • Manage corporate information technology (including monitoring use of NHCI Technologies);
  • Make it easier for you to log into NHCI systems;
  • Facilitate, manage, personalize and improve your online experience;
  • To help maintain the safety, security, and integrity of NHCI Connect, products and services, databases and other technology assets, and business;
  • To notify you about changes to NHCI Connect or any services we offer or provide though it;
  • To monitor your use of NHCI Connect to ensure your usage complies with NHCI’s IT, non-discrimination/anti-harassment, ethics, codes of conduct, and other policies.
  • To prevent and address fraud, breach of policies or terms, and threats or harm; and
  • To operate, provide, improve, and maintain NHCI Connect and the services we provide, to develop new products and services, to personalize and display content for you, and for other administrative and internal business purposes.

How We May Share Information

We may permit our affiliates, agents, vendors, consultants, and other service providers to access information collected through NHCI Connect to carry out work on our behalf. We also may share your information to perform statistical analysis, send you e-mail or postal mail, or provide support.
We also may share your information in connection with, or during negotiations of, any proposed or actual merger, purchase, sale, or any other type of acquisition or business combination of all or any portion of our assets, or any transfer of all or a portion of our business to another company. We reserve the right to transfer any information we obtain through NHCI Connect in the event we sell or transfer all or a portion of our business or assets (including in the event of a merger, reorganization, or liquidation).
Additionally, we may disclose personal information when required by subpoena, search warrant, or other legal processes; in response to activities that are unlawful or a violation of our rules for use of NHCI Connect; or to protect and defend our rights or property.

Links to Other Websites

NHCI Connect may include hyperlinks to other websites, online locations, platforms, or services that are not owned or operated by NHCI. This Privacy Policy does not apply to those websites, which may have their own privacy policies or notices that you should review to understand how they may collect, use, disclose, or otherwise process your personal information. NHCI is not responsible for the content or privacy practices of any linked websites that it does not control.  NHCI Connect also may provide links to other websites operated by NHCI or by Northside Hospital, Inc. and/or its subsidiaries, brands, or affiliates, but that are not subject to this Privacy Policy. We encourage you to review the privacy policies posted on all linked websites.

Analytics Services, Advertising, and Online Tracking

We and our vendors may use first-party cookies or other first-party identifiers as well as third-party cookies or other third-party identifiers to deliver advertisements, create a profile of you, measure your interests, detect your demographics, detect your location, and personalize content. We may engage and work with third parties to serve advertisements on our behalf on NHCI  Connect or on other websites, and to provide analytics services about the use of NHCI Connect and performance of our ads and content on other websites. In addition, we may participate in online advertising networks and exchanges that display relevant advertisements to visitors, both on  NHCI Connect and on other websites, based on the visitors’ interests as reflected by their browsing habits.

We may use certain web analytics services to help us understand and analyze how visitors use NHCI Connect and to serve ads on our behalf across the Internet

Data Security

We take reasonable measures to help protect personal information collected through NHCI Connect from loss, theft, misuse, and other unauthorized access, disclosure, alteration, or destruction. Nevertheless, transmission via the Internet is not completely secure and we cannot guarantee the security of your information collected through NHCI Connect.

User Monitoring

User behavior while using NHCI Connect must be responsible, professional, ethical, lawful, and with sound judgment and common sense. We reserve the right to monitor, retrieve, and review interactions with and through NHCI Connect, including usage information and communications. NHCI Connect is to be used exclusively for work-related purposes, including time periods outside of regular business hours. You must not use  NHCI Connect for personal use. As such, you have no expectation or right of privacy when accessing and using NHCI Connect, even if accessing NHCI Connect through personal devices.

Changes to this Policy

We reserve the right to change this Privacy Policy at our discretion. We will indicate such changes by updating the “Effective Date” at the top of this Privacy Policy. We encourage you to periodically review this Privacy Policy; your continued use of NHCI Connect after any update to this Privacy Policy will constitute your acceptance of the changes.
